Question: Can I assign files to multiple assistants at once?
Answer: Yes, you can select multiple files and assign them to multiple assistants in a single operation using the assignment sidebar.

Question: Do I need to assign files immediately after uploading them?
Answer: No, you can upload files and assign them later. Files remain available for assignment until you’re ready to use them.

Assignment Process

Duplicate Prevention

Answer: The system automatically detects files that are already assigned to the target assistants and warns you before confirming the assignment.

Question: What happens if I try to assign a file that’s already assigned?
Answer: You’ll receive a warning about the duplicate assignment. You can choose to proceed anyway or remove the duplicate from your selection.

Question: How do I know if my assignment was successful?
Answer: You’ll receive a confirmation message when the assignment is complete, and the files will appear in the target assistant’s data sources.

Troubleshooting

Question: Why can’t I see the assignment sidebar?
Answer: Make sure you’ve selected files and clicked “Add” on the Data Page. The sidebar only appears when you have staged files for assignment.

Question: What if I accidentally assigned files to the wrong assistant?
Answer: You can remove files from an assistant’s data sources on the assistant management page, then reassign them to the correct assistant.

Question: Why are some files not available for assignment?
Answer: Files may not be available if they’re still being processed, have errors, or are already assigned to all available assistants.

Best Practices

Question: How many files should I assign at once?
Answer: There’s no strict limit, but consider processing time and relevance. Start with smaller batches to test the workflow, then scale up as needed.

Question: Should I assign all files to all assistants?
Answer: No, only assign files that are relevant to each assistant’s specific purpose. This improves response quality and reduces processing overhead.

Question: How often should I review file assignments?
Answer: Review assignments regularly, especially when adding new assistants or when file content becomes outdated or irrelevant.

Performance and Limits

Question: Does assigning many files slow down the system?
Answer: Large numbers of files may take longer to process, but the system is designed to handle substantial file collections efficiently.

Question: Is there a limit to how many files I can assign?
Answer: Limits depend on your license tier and storage allocation. Check with your administrator for specific limits.

Question: What file types can be assigned?
Answer: The same file types supported for upload can be assigned: PDF, Word documents, text files, and Markdown files.
