Data access in DataQI

DataQI provides controlled access to data through roles, permissions, and assistants, ensuring users only interact with information they are authorized to access. A user’s ability to view or interact with content is determined by the assistant type, the permissions assigned by Access Managers, and any connected third-party systems.

When a Resource Manager creates an assistant and assigns data sources to it, the assistant itself is granted access to those sources. Any user who is subsequently granted access to that assistant is therefore granted access to the data contained within it, through interaction with the assistant.


Access by assistant type

Data access behaves slightly differently depending on the assistant type:

  • Chat assistant: Users can view processed content returned in responses, see source files and citations, and download source files.
  • Document writer: Users can view processed content within generated documents, see source files and citations, and download source files.
  • Search assistant: Users can view source names and citations, and download source files.

Access to the original file

All assistants allow users to download source files referenced in responses. However, access to the original data or file depends on how the data was added to DataQI:

  • Direct uploads: Users with access to the assistant can download the data sources directly through the assistant in the sources panel.
  • Added through a connection (e.g., Google Drive, SharePoint, MySQL): DataQI redirects users to the connected third-party system. Access is governed entirely by the user’s permissions in that system; users without permission cannot view or download the file.

Please note: Multiple users can contribute data sources to the same assistant if they have edit access. Users with edit access can view the list of all shared data sources configured for an assistant on their data page. However, they cannot access raw data directly unless it is surfaced through the assistant, nor can they add data sources owned by other users.
