File Assignment
File Assignment allows you to connect your uploaded files and data sources to specific assistants, making that data available for the assistant to reference during conversations.
Assigning Files to Assistants
Step 1: Access the Data Page
- Navigate to the Data page in your DataQI dashboard
- Browse your uploaded files and data sources
- Select the files you want to assign to an assistant
Step 2: Use the Assignment Sidebar
- Click “Add” to open the assignment sidebar
- Review the files you’ve selected
- Choose which assistant(s) to assign the files to
- Click “Confirm” to complete the assignment
Step 3: Verify Assignment
- The files will now be available to the selected assistant
- You can see assigned files in the assistant’s configuration
- The assistant can reference these files during conversations
Managing File Assignments
Viewing Current Assignments
- Go to the assistant’s configuration page
- Check the Data Sources section to see assigned files
- Files are organized by type (documents, databases, etc.)
Removing File Assignments
- Navigate to the assistant’s configuration
- Find the file in the Data Sources section
- Click the Remove button next to the file
- Confirm the removal
Reassigning Files
- Files can be assigned to multiple assistants
- Use the same assignment process to add files to additional assistants
- The system will warn you if a file is already assigned to prevent duplicates
File Types You Can Assign
Document Files
- PDF documents
- Word documents (.docx)
- Text files (.txt)
- Markdown files (.md)
Data Sources
- SQL database connections
- Google Drive folders
- SharePoint libraries
- Web scraped content
File Size Considerations
- Large files may take longer to process
- Consider breaking very large documents into smaller sections
- Check file format compatibility before uploading
Troubleshooting
File Not Appearing in Assignment
- Ensure the file has been successfully uploaded
- Check that the file format is supported
- Verify you have permission to access the file
Assignment Failed
- Check your internet connection
- Ensure the assistant is active and not in a paused state
- Try assigning files one at a time if batch assignment fails
Duplicate Assignment Warning
- The system will warn you if a file is already assigned to the target assistant
- You can choose to proceed anyway or cancel the assignment
- Check the assistant’s current data sources to see existing assignments
Best Practices
Choose Relevant Files
- Only assign files that are relevant to the assistant’s purpose
- Consider the assistant’s role and the type of questions it will answer
- Group related files together for better context
File Organization
- Use descriptive file names to make assignments easier to manage
- Keep related documents together in the same assignment
- Regularly review and update file assignments as your needs change
Performance Considerations
- Start with a few key files and add more as needed
- Monitor assistant performance with large numbers of assigned files
- Consider the total size of assigned files for optimal performance
